Joining a gym on Wolfore

This page explains what changes when you connect your Wolfore account to a gym. You agree to it when you accept a gym’s request, and it sits alongside our Terms of Service and Privacy Policy, which continue to cover your own account.

Why this is separate. Connecting to a gym is not just a settings change. It gives real people — your trainers — access to your training, and it means your gym holds its own record of you as their client. Some of that record stays with the gym even if you later delete your Wolfore account. That is a meaningful change, so we ask you to agree to it on its own rather than burying it in the main terms.

The short version

What your trainers can see

While you are an active member of the gym’s roster, its staff can see your name and email, your training activity in Wolfore — workouts, sets, personal records and session notes — and the programs they build for you.

They cannot see programs you build for yourself, and they cannot see anything at all before you accept. If you decline a request, the gym learns only that you declined.

Your gym agrees, in writing under the Wolfore Studio Agreement, to use your training data only to provide training services to you. They may not sell it, share it outside the gym, or use it to build anything else.

What belongs to you, and what belongs to the gym

This is the part worth reading twice, because it is where most services are vague.

Yours: your account, your training history, your sets, your personal records, your notes, and any programs you write for yourself. You can export all of it at any time, and you keep it whether you are connected to a gym or not.

The gym’s: the programs its trainers write for you, its internal notes about you, and the roster record itself — your name and the email address they hold for you. That is their business record of a client, much like an entry in a spreadsheet or a filing cabinet. It is theirs to keep or delete, under their own obligations.

One overlap, so it does not surprise you later: if a trainer personally records a personal record for you, their gym can still see that entry after you leave, because they created it. They can see it for as long as it exists — they do not get a copy of it. If you delete the underlying set, or delete your account, it goes with everything else.

Leaving, and coming back

You can leave a gym’s roster at any time from your profile. You do not need the gym’s permission and you do not need to explain why. The gym can also disconnect you.

Either way, your trainers immediately stop seeing your training data. You keep your account and everything in it. The gym keeps a past member record — your name, your email, and the programs its staff wrote for you — until they choose to remove it.

If you rejoin later, your trainers see your training as it stands then, including anything you logged elsewhere in between. That is deliberate: a trainer writing you a new program needs your current lifts, not the ones from the day you left.

Email from your gym

Your gym can email you two kinds of message, and they work differently.

Gym email is sent through Wolfore on the gym’s behalf. We do not sell your address to anyone, and it is never shared with other gyms.

If you delete your Wolfore account

Everything of yours is deleted — your training history, your personal records, your notes, your own programs. That is covered by our Privacy Policy and it applies whether or not you belong to a gym.

Your gym keeps its client record: your name, the email address it holds for you, and the programs its trainers wrote for you. We cannot delete that on your behalf, because it is not ours — it is the gym’s record of someone who trained with them, and they may have their own reasons and obligations to keep it.

When you delete your account, we will offer to stop marketing email from the gyms you belong to at the same time. If you want the gym to remove its record of you entirely, ask the gym directly. If they do not act on it, email us at support@crucible.fitness and we will help.

If you are under 18

Gyms must have verifiable consent from a parent or legal guardian before creating a Wolfore record for anyone under 18, covering both the training and the account. Our Terms of Service require parental consent for any use by someone under 18. If you are a parent or guardian and you were not asked, tell the gym and let us know.

If the gym closes

If your gym closes its Studio, you are disconnected immediately and keep your own account and everything in it. The gym’s records — including its roster record of you — are permanently deleted after a 90-day grace period.

Changes to this agreement

If we make material changes, we will update the date above and ask you to review and accept the new version before you continue using Wolfore with a gym.
